As part of our long-standing partnership with the European Space Agency, we are looking for a Documentation Management Specialist to join our team at ESTEC in Noordwijk, The Netherlands.

The Documentation Management Specialist is responsible for establishing and managing documentation governance processes, document repositories, records management, archival compliance, and programme board documentation activities. The role ensures documents are properly controlled, reviewed, approved, published, and maintained throughout the project lifecycle.

Responsibilities:

Documentation Governance:

Develop and implement documentation management policies and procedures.
Support the preparation and maintenance of Documentation Management Plans.
Define document control requirements for directorates, projects and programmes.
Ensure records management compliance with applicable standards.

Document Control & Archive Management:

Manage document registration, indexing, version control, approval workflows and archiving.
Maintain official repositories and records databases.
Ensure document security, accessibility and traceability.
Conduct compliance reviews and documentation audits.

Reporting & Board Support:

Coordinate preparation of programme board documentation.
Track document readiness and submission schedules.
Manage distribution of documentation packages to Member States, the European Commission and international partners.
Ensure quality and compliance of published documentation.

Knowledge Management:

Manage final report archiving and retrieval.
Develop document templates, training materials and user guides.
Support continuous improvement of documentation processes and systems.

Required Qualifications:

Bachelor's degree in Information Management, Library Science, Business Administration, Project Management, or equivalent.
Minimum 3 to 5 years of experience in document control, records management, or project documentation support.

Required Skills:

Document lifecycle management.
Records and archive management.
Configuration-controlled document environments.
Strong attention to detail and quality assurance.
Excellent communication and coordination skills.

Preferred Experience

ECSS documentation standards.
Space, defence, government, or regulated industries.
SharePoint, document repositories, QMS tools and audit support processes.
