As part of our long-standing partnership with the European Space Agency, we’re seeking a Documentalist to join us onsite at ESTEC, ESA’s technical heart in Noordwijk. This is the place where Europe’s missions are born, where engineers, scientists and innovators gather to turn bold ideas into the spacecraft that will explore our planet, our solar system and beyond.

Responsibilities:

Manage the full lifecycle of documentation, including registration, review, approval, distribution and archiving
Handle incoming and outgoing documentation, ensuring accuracy, completeness and compliance with procedures
Maintain and update document management systems, ensuring proper classification and traceability
Control access rights and distribution of documents, including restricted and export-controlled information
Support document reviews and ensure documentation is prepared and available on time
Provide support to project teams in retrieving and managing documentation
Ensure compliance with ESA standards, procedures and documentation policies
Perform quality checks to ensure consistency and correctness of documentation
Support migrations, updates and improvements of document management systems
Liaise with internal and external stakeholders regarding documentation processes

Profile:

Bachelor’s degree or equivalent qualification
Previous experience in document management or a similar role
Good understanding of document management processes and tools
Experience with document management systems (e.g. SharePoint or similar)
High level of accuracy and attention to detail
Strong organisational skills and ability to manage multiple tasks
Good communication skills and team-oriented mindset
Ability to work in an international and multicultural environment
Fluent in English
Candidates must be EU nationals
The candidates must be able to obtain and maintain the required security clearance in line with ESA security and export control requirements.
